Team Managers - Team Function


Parent Meeting

A meeting with all parents and coaches should be scheduled at the very beginning of the season. The following should be discussed:

  • Coach and parent introductions: At this meeting the parents can get to know each other as well as the coaching staff can introduce themselves. The coach can explain how the coaching staff will be running the team.

  • Team Budget/Team Fees: The team budget must be discussed to determine what the team fees will be for each player. A DRAFT budget should be developed by the team officials and presented to the parents. A template for the budget can be found in on the Forms page by clicking here. Please hand out a copy of the BMHA Team Rules to the parents.

    This draft budget should contain the proposed number of tournaments to be entered and how many will be in town and out of town. Remember you must ensure the parents know this is just a draft and they need to provide their input on the all aspects of the budget. The parents need to collectively agree upon the items. It is best to have a budget that contains two 'scenarios' so they can see how expenditures can vary when adjusting certain items in the budget -- ex. incorporate fund raising into one scenario and omit it from the second scenario.

    NOTE: You must refer to the guidelines on the amount of tournaments as well as the maximum amount on team fees that can be requested for each player.

    This is the best time to request a volunteer to become the Treasurer. This person will handle the collection of all funds and maintain the Team Bank account. This person will also be the second signator on the Team Bank account.

  • Fundraising: With the budget comes the subject of Fundraising. If desired, this would be the time to request a volunteer to be in charge of the fundraising.


Team Schedules

A schedule should be provided to parents as soon as possible. This schedule should contain all practices, games, tournaments and any other team activities for the given time frame. It is best (if possible) to provide a schedule that spans at least two months. This way parents are well informed on the upcoming hockey schedule.

A good way of providing the schedule is to use the MS Word Calendar and place the events on this for each month. The parents should have the option of receiving this schedule either by email and/or in paper copy.

Please ensure that the parents have your phone number and the coaches phone number. It is very important that they notify either you or one of the coaches that they will not be attending a scheduled game or practice.


Team Contact Card

You may decide as a parent group to circulate a team contact list with the name, number and phone numbers (home and possibly cell phone) of the players. Please ensure that the parents are in agreement to give their phone number and other information to other team members. You may also include the name of the parents, and their address. This information is very helpful when traveling out of town if parents need to be reached on their cellular phones.


Fundraising

Fundraising is to be decided at the parents’ meeting in the fall. It will be based upon how much you have budgeted on expenses (see above). There are a lot of different ways to raise money. The easiest and less complicated is through parent contributions.

Depending on your budget, you may ask the parents to contribute immediately towards a team budget.

Due to the workload of the manager it can be tabled at the Parents meeting in the fall that a parent volunteer to coordinate the Team Fundraising.


Finances

You will need to submit a team budget to the Division Convenor so they will know what your team's expectations and spending will be.

Your team budget should include the following:

  • team apparel expected cost (socks, name bars)
  • tournament fees
  • referee fees (for exhibition games)
  • extra ice
  • social activities
  • trophies/year end party
  • miscellaneous (bank fees)
Depending upon your 'comfort' with dealing with the team finances, a request to parents to volunteer to be the Treasurer is very helpful. This person would be responsible in completing the appropriate budget forms and taking care of the finances. The Treasurer would be the second signature on the team bank account.


Ordering Team Apparel

Team Apprarel can include:

  • Name Bars: First ask parents if they have the name bars for their child from the previous year. This will reduce the number of name bars to be ordered. These can be ordered at Lacroix Sports or Houle Sports in Orleans. If these are to be ordered then they should be ordered for the home and away jerseys.
  • Team Socks: these can be ordered through the BMHA Equipment Manager.
  • Blackburn Stinger Clothes: Some players/parents are very interested in ordering Blackburn Stinger clothes (sweatshirts, jackets etc.) You can contact Porters Embroidery for this. They will provide an equipment bag containing the items that can be purchased as well as all sizes for these items for people to try on. This is up to the discretion of the manager to perform. If parents want to order Stingers clothes individually then they can order these at Lacroix or Houle Sports


Extra Ice Purchase

There are various sources to find available ice purchases.

  • The GHA website has an Ice for Sale section where organizations can post hours of ice that are available.
  • Orleans Minor Hockey website
  • Ray Friel Centre ice available
  • City of Ottawa
    Note that when contacting the city of Ottawa for ice time you must specify the dates and times you are looking for ice (ex. From November 1 to December 31. Mon-Fri between 5 and 8, weekends from 7am to 7pm) They will then fax you a list of available ice times for these specific time frames.
The manager is responsible for booking and paying for the ice time as well. The ice used could be a full ice practice time, it could be a trade-off with the opposing team or it could be bought ice time.

Referees

For regular season games, the referees and linesmen are paid for through the league. For exhibition games the refs are paid out of the team budget. They are paid in cash, the exact amout to each official prior to the start of the game. Prices may vary between refs and linesman and between different levels.

The pay rates can be obtained from the D9RA Referee Association. If you need to cancel, schedule or re-schedule refs and linesmen please contact Sean Reid @ d9ra@sympatico.ca . He is the person responsible for the scheduling of referees within the District.

Refs and Linesman must be scheduled for all exhibition games. In the event that refs do not show up for one of your scheduled home games please contact Sean Reid immediately to obtain refs.


Team Pictures

The arrangement of having Team Photos taken is the responsibility of the manager. It is best to have the pictures taken before a practice. There are various photographers in the area that are available to take the pictures.
